A leading Irish animal nutrition company are seeking an Export Documents Administrator to join their team at their site based in Cork Harbour, this is an ideal role for an agile candidate willing to grow within a friendly and supportive organisation.

 

Responsibilities:

 

  • Process and invoice all orders using MS Business Central ERP.
  • Forward all orders to UK factory locations responsible for dispatch of order.
  • Ensure overall responsibility for the preparation of all export documentation as per customer/country requirements.
  • Ensure all export documents required are sent to the relevant source, distributor, agent, or bank on time to enable clearance of goods.
  • Communicate with factory personnel on dispatch details of orders.
  • Communicate with personnel in shipping companies re: sailing schedules, monitor progress and request information on delayed shipments etc.
  • Check all Bills of Lading from shippers prior to issue.
  • Arrange Certs of Origin, from Cork Chamber of Commerce & other Chambers of Commerce where relevant.
  • Invoice all orders on.
  • Arrange credit notes when requested.
  • Update Food Division Manager on status of delayed shipments.
  • Arrange and liaise with courier companies regarding dispatch of all documentation.
  • Keep Lean File – Order Status updated & issue weekly.
  • Keep Customer Price List Updated with assistance of Line Manager
  • Any other tasks as required by Management – notifications – availabilities etc.
  • Must be willing to take on colleague’s tasks when the need arises and to provide cover in periods of absence.
  • Strict attention to detail on all matters – especially Export Documentation.
  • Maintain strict confidentiality on all matters.

 

 

Professional Experience & Qualifications

 

  • Third level qualification would be Ideal.
  • Must have previous experience in a shipping company, preferably in Exports.
  • Previous Export/Import documentation experience required.
  • Experience processing credit documents would be an advantage.
  • Experience in an FMCG, fast-paced, high volume manufacturing environment with demonstrable and transferable skills is desirable but not essential.
  • Proficient in the use of MS Office tools
  • Proficient numerical ability to record, interpret and analyze key process data.
  • Proficient written, numerical and verbal skills

 

 

Type:

Permanent, Full time, Site-based, Monday-Friday, normalised office hours

 

Package: 

€40,000 to €45,000 DOE + Benefits
