A large, South Dublin-based transport company is now seeking a Fleet Maintenance Administrator to support both the home delivery team. The role involves managing maintenance, complying with legislation, handling insurance claims, defect management, and scheduling.

Key Responsibilities:

CVR Legislation: 

  • Plan, process, and ensure compliance in all aspects of CVR legislation.

Maintenance Planning:

  • Program 12-month Maintenance Plan for the full fleet.
  • Program '12-week checks' and 'Services' for the fleet.
  • Document weekly oil and water checks.
  • Promptly address defects reported on the Driver Motion Metrics App.

Insurance Claims:

  • Manage the entire process of insurance claims, from initiation to completion.
  • Complete accident forms with drivers and follow up with insurance providers.
  • Manage associated costs.

Invoices:

  • Obtain quotes and pro forma invoices for maintenance.
  • Issue POs and ensure all are recorded and up-to-date on the system for Accounts processing.
  • Keep Stratum fully updated and liaise with the Finance Dept regarding all maintenance invoices.

Defect Systems & Processes:

  • Enforce defect systems and processes using the Driver Motion Metrics App.
  • Address daily reports promptly and liaise with drivers.

Service Providers:

  • Monitor service providers to ensure timely and professional servicing, repairs, and maintenance.
  • Ensure legal requirements such as inspections, licenses, and insurances are acquired on time.

Document Management:

  • Keep all vehicle files up-to-date, ensuring all correct paperwork is recorded in compliance with legislative requirements.
  • Ensure suppliers issue relevant paperwork for completed repairs, recording them on Stratum and vehicle files.

Reporting and Communication:

  • Run reports based on the Motion Metrics app, ensuring all notified faults and issues are promptly addressed.
  • Collaborate with Fleet Maintenance and Operations for effective communication on vehicle downtime, repairs, and scheduling.

Training:

  • Undergo required training, particularly in IT systems such as Stratum, Motion Metrics Bluetree, and Transzaura.

Requirements:

  • General motor/vehicle/insurance background or knowledge is a distinct advantage.
  • 1+ years of administration experience required.
  • Highly organized with the ability to prioritize effectively.
  • Excellent communication and attention to detail.

Terms: 
Full-time permanent
