It is the responsibility of the Night Team Leader to lead his team to ensure the efficient daily operation of the loading & unloading of depot vehicles on their return to the Depot, and to meet the KPIs and business needs measurements set out and agreed with the Depot Manager.
Job Specification:
- Ensure traceability of the fresh oil both inwards and outwards is maintained and ensure batch number are maintained and recorded by complete recording of all stock movements on appropriate stock record sheets and on/off paperwork
- Load vehicles with both buckets and bulk as instructed by Distribution Dept needs, ensuring bulk and buckets are loaded in a safe and hygienic manner following HACCP procedures
- Unload UCO from vehicles
o Ensuring all cages are not damaged when being used
o Segregate damaged cages for return to Strabane
o Pallet wrap and strap barrels prior to storage
o All product to be weighed before storage & recorded on appropriate paperwork for each vehicle
o All UCO product must be stored within the UCO building
o No UCO buckets to be stored on pallets
- Completed on / off sheets correctly
o Ensure every vehicle returning from R&Rs is checked accurately (and recorded) for fresh and UCO stocks returned to Depot
o File in despatch office for collection next morning by Office manager
o Ensuring all required areas are completed correctly ▪ Sales ▪ Returns ▪ Loaded ▪ Driver / Bookman signatures ▪ UCO information - Reporting to On/Off sheet discrepancies immediately to Depot Manager & Day Shift Team Leader for action
- Completed the despatch sheets accordingly
- Ensure vehicle keys are returned to key Board in Despatch Room for access in morning
- Secure R&R bags received from drivers into the Despatch Room and ensure cash bags for every R&R are lodged into the safe immediately on receipt from every Bookman.
- Ensure all vehicles are parked in orderly fashion, in appropriate location, to ensure orderly offsite driving for drivers in morning – report any vehicle issues immediately to Depot Manager in end of shift report
- Daily clean down of the production floors at end of shift
o UCO
o Fresh - Weigh incoming and outgoing vehicles using the weighbridge – TBC
- Operational duties comprise of the following:
o Preparing on/ off sheets for evening loading
o Obtain loading sheet and assess are all vehicles suitable for the loads assigned
o House keeping duties in vehicles – changing cardboard, white card, empting drip tray on bulk vehicles, washing vehicles where necessary
o Forklift duties as necessary
o Accepting any late delivers (external)
o Transferring bulk oil from one vehicle to another as necessary
o Checking vehicles when they return and confirm the sold figures on the on / off sheet
o End of shift clean down – rubbish removed, bins emptied, unnecessary items removed
o Preparing for lock up – closing windows, doors, valves, shutting down pumps and compressors, setting alarm
o Nightly walk round of building to ensure it is secure
o Organising team – into two separate teams – ▪ half team unloading vehicles ▪ and returning them for loading while the other half remains loading.
o Preparing vehicles for loading – working one vehicle ahead to know what load is next required.
o Directing and supervising any necessary bucket filling
o Inspecting tanks and stands before loading on to vehicles
o Directing curtains for night time parking
o Completing CCP2 sheet for bulk oil or buckets filled during evening shift
o Vehicle inspections for any faults, breakages or damage for repair
o Stocktake at the end of each shift for buckets and tanks and sent to Office manager
o Send shift report by e mail to depot manager, office manager and distribution manager each day highlighting the following ▪ Filling figures if any ▪ Summary of loading programme ▪ Tank balances ▪ Stock balance of main lines ▪ Actions completed for H & S and Food Safety ▪ Absents & late reporting ▪ Cleaning schedule that was carried out on the day
o Completing shift handover sheet – how many vehicles have been loaded/unloading, any issues for example new locks used for bins, people issues, H and S issues, Quality Issues
o Gate control – letting returning vehicles in and out
o Completing tank loading confirmation sheet for bulk vehicles – batch number in each vehicle
o Gritting of the yard if it is frosty o Loading vehicles as per drivers instruction when necessary
o Ensuring crystals are spread on stained outside areas prior to any persistent rains at the end of shift
o MHE checks at the start of the shift – ensuring all team members have handed in their forklift check sheet at the beginning of shift
o Ensure all product leaving site is correctly labelled, wrapped and damage free and secured using stillage bars where possible
o Checking to ensure all vehicles have the relevant spill kits on board & signed off on on/off sheet
o Every Friday recording of Mileage records on all vehicles for entry to weekly KPI information
o All trucks to be fuel full on Friday nights
Minimum Requirements:
2+ Years Supervisory experience
Excellent IT skills
Excellent communication skills (both written and verbal)
Excellent leadership and people skills
Excellent attention to detail and Analysing skills
Ability to adhere to strict deadlines
Degree/Qualification relevant to this area - Advantageous
