Purchasing Coordinator 

The primary focus of your role is to execute the administration involved in all the purchasing and logistical activities within the Electrical Mechanical division of the company.  As an integral part of the Team, you will also be working closely with the warehouse and other departments to ensure stock levels are maintained to satisfy customer requirements while forecasting and controlling stock levels, monitoring fast-moving products, reducing slow-moving stock, reducing obsolete stock and co-ordinating all documentation for imports and excise in accordance with Customs rules and standards.

A key function of this role is producing data-based reports and information, and efficient planning of tasks and organisation. 

A key function of the role is to maintain purchasing information, files and records in conformance with company policy and procedures reporting on a weekly and monthly basis, producing results on all tasks and ensuring full compliance with customer service procedures.

Primary Duties & Responsibilities

  • Acquire first-hand knowledge of processes, practices and legislation and to be able to communicate the Purchasing & Logistical Administration processes clearly and effectively with all stakeholders internally and externally.
  • Continuous evaluation of plans and processes, making recommendations for improvement and implementing the necessary adjustments as required.

Being specifically accountable and responsible for:

  • High level Forecasting 
  • Maintaining accurate records of Forecasted Orders 
  • Supplying the Accounts Department with a forecast detailing the companies foreign currency requirement so that they can manage forward contracts and cashflow
  • Maintaining Min Max levels
  • Collating information necessary for the generation of Supplier Orders
  • Arranging collections from Suppliers
  • Following up on overdue orders, informing relevant personnel of any delays 
  • Ensuring delivery dates are accurate on our ERP System
  • Liaising with other departments such as Sales and Warehouse to give advance notice of shipments to ensure the warehouse has the necessary resources and space for shipments/product
  • Product Maintenance and the setting up of products ensuring completeness in accordance with company and system procedures. 
  • Benching courier rates to ensure best rates and service.
  • Price negotiation for best courier rates on Import Shipments and recording of same
  • Imports and Exports in accordance with Customs Rule and Regulations
  • Periodic Internal audits on import transactions to ensure compliance
  • Monitoring our purchase performance to rebate agreements with Suppliers
  • Maintaining Price Lists
  • General administration

Minimum Requirements:

  • 2-3years years experience in purchasing /prcurement within a distribution environment in Ireland.
  • Excellent knowledge and experience with Microsoft Excel including Pivot Tables etc… 
  • Communication and relationship building at all levels (Customer, Revenue, Management, Operations).
  • Strong numerical skills.
  • Forecasting experience. 
  • Well Organised and strong planning skills.
  • Preferably IIPMM or business Qualification. 
  • Must have the ability to concentrate on detailed work easily and to be persistent at doing routine work in a steady manner.
  • Demonstrating professionalism in all areas. Can have a high sense of responsibility for all aspects of the job role including following established systems and procedures. 
  • Interpreting, analysing and inputting information accurately.  
  • Experience working in an efficient systematic manner ensuring that the work/tasks are completed on time while adhering to the company’s objectives.
  • Being thorough, organised, self-disciplined, persevering and practical in performing all tasks and being cautious when making decisions.  
  • Strong customer service skills focusing on the delivery of excellent service to customers.  
  • Capable of building rapport and building excellent relationships with customers internally and externally

Terms:        Full time, Permanent

Salary:        Circa €40,000 basic annual salary,
