Our client, a known manufacturer and supplier of manufacturing materials based in North County Dublin are now recruiting for a fixed term contract position of Operational Administrator. The ideal candidate will have a minimum of up to 2 years’ experience in a similar role, a flexible approach to their work and should be able to work independently. They should also have excellent interpersonal skills and will enjoy working as part of a team.


Duties and Responsibilities
• Assist with the full Review of the CMMS system data base for both Ireland and UK.
• Help establish a naming Pre-Fix for all assets going forward with the maintenance team.
• Assist in writing procedures for the maintenance of all assets.
• Daily management of the data inputting and updates of the CMMS system (Shire) for both plants.
• Co-ordinate with the UK administration on Works orders and tracking of same.
• Prepare Weekly Reports for production meetings for what is maintenance required for both plants.
• Ensure we have pictures of all assets are on the system.
• Tracking that all new Assets are entered correctly onto Shire before they are released from stores
• into the factory.
• Assist with preparing for both Quality and Safety Audits as and when they arise.
• Assist with having maintenance sub-contractors working in both facilities are fully co-ordinated with
• each department.
• Maintenance Contracts are kept on file.
• Requestions are issued to purchasing.
• Tracking that Purchase Orders are raised to the sub-contractor.
• Booking/Tracking dates for carrying out the works and notifying Security in advance.
• RAMs are received, reviewed by Health & Safety in advance of works.
• Circulating Notifications to APMs when works will been carried out in their area.
• Ensuring that all Maintenance Works are certified and received from the Sub-Contractors
• and logged onto the system.
• Assist in the authorisation of invoices from accounts.


Operational Daily Tasks
• SharePoint docs update
• Achilles web update
• Mastic updates
• Batching updates
• Concrete Mattest report updates


Office Administration
• Support the Office Manager with call management for breaks and annual leave.
Minimum requirements
• Administrative experience, preferably in a facilities/maintenance department
• Proficient in the use of MSOffice applications
• Detail oriented with exceptional time management and multi-tasking ability
• Excellent coordinating and organisations skills
• Ability to work independently and meet deadlines
• Strong verbal and written communication skills, including strong interpersonal/team player skills.


Terms:
Mon-Fri – on site
37.5 hours


Package:
€28,000 pro-rata
